Ordering

What products do you sell?

We supply custom-printed display products for trade shows, exhibitions, expos, conferences, markets and promotional events.

Our current range includes:

  • tension fabric backdrops;
  • roll-up banners;
  • brochure and digital display stands;
  • custom-printed event flags; and
  • custom-printed trade show gazebos.

Each product is designed to help small and medium-sized businesses create an affordable, professional event display.

Are your products made to order?

Yes. Most of our products are custom manufactured using artwork, branding and options approved by you.

They are not normally held as finished, printed stock. Production begins after payment has been received, the order specification has been confirmed and the final artwork proof has been approved.

Can I order through the website?

Yes. Select the product, size, printing option, base or other configuration required and proceed through checkout.

Where a product has complex requirements or you need help choosing the correct option, contact us before ordering.

Can I request a quotation?

Yes. Contact us with:

  • the products required;
  • sizes and quantities;
  • delivery country and postcode or ZIP code;
  • required event date;
  • artwork requirements; and
  • any accessories or special configuration needed.

We will provide a quotation based on the information supplied.

Do you offer discounts for larger orders?

Volume pricing may be available for multiple products or larger quantities.

Contact us before ordering with the products, quantities and delivery destination so that we can confirm whether a bulk quotation is available.

Can you help me choose the right display?

Yes. Tell us:

  • the type of event;
  • the available display space;
  • whether the event is indoors or outdoors;
  • how frequently the display will be used;
  • the products or information you want to present; and
  • your approximate budget.

We can help you compare the most suitable options.

Artwork and Design

Do I need to provide my own artwork?

You can either provide print-ready artwork or select our custom graphic design service where it is available.

If you supply your own design, it must meet the artwork requirements for the selected product.

What file formats do you accept?

Accepted formats may depend on the product and manufacturer. Print-ready PDF, AI and EPS files are generally preferred.

High-resolution image files may also be accepted where suitable.

Please check the relevant artwork template or contact us before submitting your design if you are unsure.

Where can I find the artwork templates?

Artwork templates are available from our Templates page.

Select the template for the exact product and size ordered. Do not use a template for a similar product, as the dimensions, bleed and safe areas may differ.

What resolution should my images be?

Images should be high enough quality for large-format printing at the intended finished size.

Images taken from websites, screenshots or social media are often too small and may appear blurred or pixelated when enlarged.

We will identify obvious technical issues where possible, but you are responsible for ensuring that supplied images are suitable.

What colour format should I use?

Artwork should normally be prepared in CMYK rather than RGB.

Colours shown on screens can differ from printed colours because screens and printers reproduce colour differently. Where colour accuracy is especially important, provide a recognised colour reference and contact us before ordering.

Exact colour matching cannot normally be guaranteed across different materials or separate production batches.

Do I need to include bleed?

Yes, where required by the product template.

Bleed allows the design to extend beyond the finished edge and helps prevent unwanted white areas after printing and finishing.

Important wording, logos and contact details should remain within the safe area shown on the template.

Can you create the design for me?

Yes, a custom graphic design option is available for selected products.

You will need to provide:

  • your logo;
  • wording and contact information;
  • preferred colours;
  • suitable images;
  • brand guidelines, where available; and
  • a clear explanation of what the display should communicate.

The design service covers preparation of the product artwork. It does not normally include logo creation, professional photography or extensive copywriting unless separately agreed.

How many design revisions are included?

Our standard design service includes:

One initial concept and two rounds of reasonable adjustments.

Additional or substantial changes may incur a further design charge. We will explain any additional cost before carrying out chargeable work.

Will I see the design before it is printed?

Yes. We will normally provide a digital proof for approval before production begins.

The proof allows you to check the layout, wording, branding and positioning of the design.

What should I check on the proof?

Please check:

  • spelling and grammar;
  • names and dates;
  • telephone numbers;
  • email and website addresses;
  • product prices or promotional claims;
  • logo positioning;
  • colours;
  • images;
  • orientation;
  • selected product and size; and
  • all other design details.

By approving the proof, you confirm that the design is correct and authorise production to begin.

Can I change the artwork after approval?

Contact us immediately if you notice a problem after approval.

We will try to stop or amend production where reasonably possible, but this cannot be guaranteed. Once manufacturing has begun, changes may be impossible or may require additional design, printing or manufacturing charges.

Production and Delivery

How long will my order take?

Production begins after:

  • payment has cleared;
  • suitable artwork has been received;
  • any design work has been completed;
  • the final proof has been approved; and
  • all order information has been confirmed.

Our typical production time is:

7-12 working days

Delivery time is additional and depends on the product, dispatch location and destination.

Why are your lead times longer than some other suppliers?

Our products are custom printed and manufactured using your approved artwork rather than being taken from standard finished stock.

This allows us to offer professional, personalised displays at competitive prices, but it means that time is required for artwork approval, printing, manufacturing, quality checking and delivery.

Do you deliver worldwide?

Yes. Worldwide delivery is available to many destinations, subject to carrier coverage, customs requirements and product size.

Delivery time and cost depend on:

  • the destination;
  • product dimensions and weight;
  • quantity;
  • shipping method;
  • customs requirements; and
  • remote-area charges.

Is delivery included in the product price?

Unless the product page or quotation states otherwise, delivery is calculated separately.

The applicable charge may be shown at checkout or confirmed after reviewing the order and delivery destination.

Where are the products dispatched from?

Products may be manufactured and dispatched from different locations depending on the product, quantity and destination.

Some orders may be sent directly from an international manufacturer or fulfilment partner. Your contract remains with Expo Display Stands, and any order enquiries should be directed to us.

Will I receive tracking information?

Where tracking is available, it will normally be sent to the email address supplied with the order.

Large freight, pallet or final-mile deliveries may provide different levels of tracking from standard parcel services.

Can my order arrive in separate packages?

Yes. Products or components may be manufactured or packaged separately.

An order may therefore arrive in more than one consignment or on different delivery dates. Where possible, separate tracking details will be provided.

Can you guarantee delivery before my event?

Tell us before ordering if you are working towards a fixed trade show, exhibition or event date.

We will advise whether the proposed timeframe appears achievable. However, production and delivery dates are estimates unless we expressly agree a guaranteed deadline in writing.

We recommend arranging delivery well before the event so there is time to inspect the products and resolve any unexpected delivery or component issues.

How far before my event should I order?

We recommend allowing sufficient time for:

  • design preparation;
  • revisions;
  • proof approval;
  • manufacturing;
  • international transport;
  • customs clearance; and
  • inspection after delivery.

As a minimum, we recommend receiving the product 7 days prior to the event.

Contact us as early as possible if your event date is approaching.

Can you deliver directly to an exhibition venue?

Venue delivery may be possible, but you must provide complete delivery information, including:

  • event name;
  • event date;
  • hall and stand number;
  • exhibitor name;
  • venue contact details;
  • delivery booking instructions;
  • permitted delivery dates and times; and
  • any required labels or references.

Exhibition venues may reject deliveries that do not follow their procedures. Where possible, delivery to your normal business address in advance of the event is safer.

Customs, Duties and International Orders

Will I have to pay import duties or taxes?

International orders may be subject to:

  • customs duties;
  • import VAT or sales tax;
  • brokerage charges;
  • clearance fees; and
  • other local charges.

We normally send items delivered with duty paid. 

Who is responsible for customs clearance?

Where duties and taxes are not included, the recipient is responsible for cooperating with the courier or customs authority and paying any applicable import charges.

Customs authorities may request tax details, identification or other importer information before releasing the shipment.

What happens if I refuse to pay customs charges?

Custom-made products will not normally be refunded because the recipient refuses to pay customs charges or complete import formalities.

Delivery, return, storage, customs and handling charges may be deducted from any refund otherwise due, where legally permitted.

Returns, Cancellations and Problems

Can I cancel my order?

Contact us as soon as possible if you want to cancel.

Before design, supplier or production work begins, cancellation may be possible. We may deduct reasonable costs already incurred.

After artwork approval or once production has begun, custom-made products cannot normally be cancelled or refunded unless they are faulty, damaged, incorrectly manufactured or not as described.

Can I return a custom-printed product if I change my mind?

Custom-printed products are made using your artwork and specifications and cannot normally be resold.

They cannot therefore normally be returned because:

  • you have changed your mind;
  • the event has been cancelled;
  • you ordered the wrong size;
  • the product does not fit your space;
  • you no longer like the approved design; or
  • the product is no longer needed.

This does not affect your rights where goods are faulty or incorrectly supplied.

What happens if I make an error in the approved artwork?

You are responsible for checking the final proof before approval.

We cannot normally provide a free reprint or refund for an error that was visible on the approved proof, such as incorrect spelling, contact information, dates, prices or image placement.

What should I do if my order arrives damaged?

Inspect the packaging and contents as soon as possible after delivery.

Where damage is visible:

  • photograph the unopened packaging;
  • ask the courier to record the damage;
  • retain all packaging;
  • photograph the damaged product and shipping label; and
  • contact us promptly.

Please report visible transit damage within 48 hours to help us make a carrier claim.

This requested reporting period does not remove any statutory rights that apply.

What should I do if something is missing?

Check all packages and the dispatch information first, as some orders may arrive separately.

If an item or component is missing, contact us promptly with:

  • the order number;
  • delivery date;
  • details of the missing item;
  • photographs of the received components; and
  • photographs of the packaging and shipping labels.

What happens if my product is faulty or incorrect?

Contact us with photographs, video where useful and a description of the problem.

Depending on the circumstances, we may:

  • provide replacement components;
  • repair the product;
  • reprint the affected graphic;
  • replace the product;
  • offer a price reduction; or
  • provide a refund.

Do not return a product before receiving instructions from us.

Where should I send a return?

Do not send returns to our registered address unless we specifically instruct you to do so.

Products may be supplied from different manufacturing and fulfilment locations, so the appropriate return address will be confirmed after we assess the issue.

Product Use and Care

Are the displays reusable?

Yes. Our display frames and structures are designed for repeated event use when assembled, transported and stored correctly.

Printed graphics may also be reused, although their lifespan depends on handling, frequency of use, storage and environmental conditions.

Can I order a replacement graphic?

Replacement graphics may be available for selected products.

Contact us with the original product details, size and order number where possible. Because frame dimensions can differ between manufacturers, we may need to confirm compatibility before accepting the order.

Are the products easy to assemble?

Most products are designed for straightforward event setup and do not require specialist tools.

Assembly complexity varies by product. Larger backdrops and gazebos may be easier to assemble with two people.

Please follow any instructions supplied and contact us before the event if you need clarification.

Are the products supplied with carrying cases?

Many products include a carrying case or bag. Check the individual product description under “What’s included” before ordering.

Can the flags and gazebos be used outside?

Flags and gazebos are intended for appropriate outdoor event use, but weather conditions must be assessed carefully.

You are responsible for:

  • using the correct base or anchoring method;
  • checking weather forecasts;
  • assembling the product correctly;
  • complying with venue rules; and
  • dismantling it if conditions become unsafe.

Unless specifically confirmed otherwise, do not use outdoor display products in strong winds, storms, heavy snow or other hazardous conditions.

Are the products waterproof?

Product materials and weather resistance vary.

A product suitable for outdoor promotional use should not automatically be treated as permanently waterproof or suitable for prolonged exposure to severe weather.

Contact us before ordering if weather resistance is a critical requirement.

How should I store fabric graphics?

Fabric graphics should be:

  • clean and completely dry before storage;
  • protected from sharp objects;
  • stored away from damp and excessive heat;
  • handled carefully when fitting or removing; and
  • packed according to the supplied instructions.

Storing graphics while wet can cause damage, staining or odour.

Do your products include a warranty?

Some products include a stated hardware warranty. The applicable warranty will be shown on the product page or order confirmation.

Warranties do not normally cover:

  • normal wear and tear;
  • accidental damage;
  • misuse;
  • poor storage;
  • incorrect assembly;
  • weather damage;
  • unauthorised modification; or
  • damage during customer-arranged transport.
